Event Details

February 2-4, 2018. We are headed to Winterplace, WV. This is a ski retreat where we will be joining roughly 400+ teens from NC for a time of worship, growth, Bible Study and fun in the snow. The retreat is being organized by Be-Do-Tell (youth ministry department of Baptist State Convention of NC). Teens will ski, snowboard or tube during the day Saturday, then worship with hundreds of teens from NC at night and Sunday AM!

 

Trip Cost

How much it costs depends on which of the winter activities you wish to participate in. Each package includes: Lodging in hotel, Lift tickets, equipment rental, 2+ meals, Conference fees, transportation. We accept cash or check. Make checks payable to “Bethany Baptist Church”. Here are the packages:

  • Ski Only ($199) – ski roughly 9-5pm Saturday
  • Snowboard Only ($199) – board roughly 9-5pm Saturday
  • Snow Tube Only ($165) – tube roughly 9-5pm Saturday
  • Ski/Board + Tubing ($215) – Regular ski/board pass + 2-hour tubing pass Saturday
 

Payment Schedule

Students may pay for their entire trip at once or in installments. The Payment Schedule is as follows:

  • November 19 – Registration deadline / Deposit Due ($100)
  • December 3No Refunds without Transfer after today (see below) / Optional Partial Payment
  • January 14 – Final Balance Due (amount depends on package selected) / NO REFUNDS AFTER TODAY
 

Am I guaranteed a spot?

This is a very popular event and space is limited. We prepaid for a select number of spots and have to book them in groups of 4 since that is how the rooms are sold by BCNC. So after the first 2 groups are booked (8 total) we will not guarantee a spot until four of the same gender have registered. (FOR EXAMPLE: If we have a group of 8 guys registered, we will not guarantee a spot for guys or girls again until four more slots are full of the same gender. Once we have 4, those spots will be booked and notified of their confirmed reservation and spot on the trip. This will continue until we have all spots sold out.) We do not have to have set number of guys or girls so the first to fill the spots will get them. The others will be put on a waitlist. This event will sell out as BCNC only has so many spaces available, therefore, extra spaces will not be able to be obtained by us when we sell out of our spots. Please also be advised that we have to take a set number of adults and they count toward the final space availability as well.

Financial Assistance

We have a few scholarships available for this event. To request a partial or full scholarship (or payment extension plan) indicate that on your registration form. There is an area regarding scholarships in the payment section. Select the option that best fits your situation.

Regarding Scholarship Criteria: We will not ask why you need a scholarship. We trust your judgment regarding your financial status. All we ask is that you only apply for a partial or full scholarship if you have a genuine need. Scholarship money is limited so we want to be sure we do all we can to help those genuinely in need.

 

Refunds

For most trips we take, the church has to purchase spots and make payments in advance, and in good faith, that we will receive timely payments from participants. The church has to absorb costs beyond certain dates if spots are not filled. It is for that reason that we cannot issue refunds. For this trip we will have two No Refund dates. After December 3 students may only be issued a refund if there is a student to fill their place. Refunds will not be issued until that space is full. After January 14 refunds will not be issued and we will use the money as a scholarship to help cover the cost in part, or full, to help fill the spots at the last minute.

  • December 3 – No Refunds without Transfer
  • January 14 – No Refunds

 

Departure/Arrival

We will leave Friday early afternoon. We want plenty of time to get there safely, eat dinner, deal with potential winter roads, and hopefully beat most traffic. We hope to be home late Sunday afternoon (but before the Super Bowl). We will not have Refuge or Super Bowl events that evening.

 

Room Assignments

Students will sleep in hotel rooms, grouped by gender and grade if possible. We hope to have high school girls together, middle school guys together, etc. Depending on the numbers, however, we may need to mix age groups, but that will not be known until December.  

 

Parent Attendance/Chaperones

We normally welcome parents to attend events with their teen, should they desire and if space permits. Unfortunately, due to limited space parent attendance will not be possible with this trip. This trip is only open to teens grades 6-12 and Bethany Adults selected to help lead the trip and oversee the students (most likely, the pre-screened and approved Refuge Staff).
